Tent/Shed Farm Procedures
Tent Procedures
Tent hours are from 10am-6pm daily, Monday-Sunday. Arrive at the Farm daily by 8:45am; in order to pick up strawberries, product, supplies (bags, quart/half gallon containers/handles), daily envelope, cash bags (each has $200, pen, additional card machine tape and a highlighter for insuring bills are not counterfeit) and card machine/battery pack with cord. This will allow you to be at your tent by 9:30am to have it set up and ready to open by 10am.
Each tent has two tables to place strawberries and product, see picture below for an example of how to set up for best display. Wipe down the tables daily, pick up any trash. If it has rained make sure there is no water sitting on the tent (don’t want customers getting wet) should be completed when you arrive. Then put out all of the strawberries/product on the tables. All strawberries/product should be on the table, not left in your car.
Each day a Daily Tent Sheet should be completed (see example below). As you start the day, put how gallons of strawberries you have, how much of each product you have and how many gallons you convert to quarts/half gallons (you will need to track this throughout the day as you may need to make them up several times).
At the end of the day put how many gallons, quarts, etc. you have leftover on the Daily Tent sheet. Calculate your pay of the day and pay yourself from the cash bag. Reset money bag to $200 (should be, $40 in $10’s, $100 in $5’s and $60 in $1’s). Run the Daily Settlement Report for the card machine (Reports, Daily Settlement, Manager Passcode 1234). Take a picture of the Daily Tent sheet and card machine Daily Settlement Report and text to Hunter/Joy. Put completed Daily Tent sheet around any additional cash over the $200 or checks you receive in the money bag, place the $200 inside the cash bag beside the Daily Tent sheet.
Load all leftover strawberries/product, etc. into your car and return to the Farm. A designated place will be available for leftover strawberries/product. Plug in card machine/battery pack on shelf in Office. Put empty boxes in designated place. Drop money bag in appropriate/assigned location per Farm Manager.
Additional information: bring a chair, lunch, drinks, water or anything you will need for the day as you will be at the Tent all day. A locked portable toilet is provided (code 1385 or 138 depending on the lock).



Farm Shed Procedures:
Hours: Spring Season – 8 am to 7 pm; Fall Season – 10 am – 6 pm
General Information: Help all customers politely, answer questions, provide directions to field/FunPark and provide history/background facts of Cottle Strawberry Farm as appropriate. Learn prices of products, hours of operation, strawberry varieties, etc.
Hopkins: Upon arrival pick up cash bag at office, a walkie and Daily Farm sheet. Card machines are located at the shed under the checkout counter. At the Shed confirm all items are stocked appropriately. Complete the first column of the Daily Farm sheet with current inventory. Replenish supplies during the day as needed. Request additional berries/produce via call to Farm Foreman. Spring season – confirm with Farm Foreman which fields will be used for Upick customers (it rotates).
At the end of the day put how many gallons, quarts, etc. you have leftover on the Daily Farm sheet. Calculate your pay of the day and pay yourself from the cash bag. Prior to leaving for the day restock all inventory appropriately, make sure all produce/berries are put away correctly all Shed area is clean/tidy for the next day.
Florence: Upon arrival, unlock Shed, turn sign in window to Open, wipe down tables, put out product and call for berries. Pick up any trash around parking area/farm. Complete first column of Daily Farm sheet with starting inventory berries/product. Count out Upick buckets, quarts, 1/2 gallons and put on Daily Farm sheet. Confirm with Farm Foreman which fields are for Upick customers each day (it rotates). Make sure the Upick field is marked properly with signs. Make up quarts and 1/2 gallons, track on Farm Sheet. Replenish supplies throughout the day as appropriate.
At the end of the day, put all leftover product back in Shed or cooler as appropriate. Call Farm Foreman to pick up remaining berries.

Reset money bag to $200 (should be, $40 in $10’s, $100 in $5’s and $60 in $1’s) and place in designated location. Run the Daily Settlement Report for the card machine (Reports, Daily Settlement, Manager Passcode 1234). Take a picture of the Daily Farm sheet and card machine Daily Settlement Report and text to Hunter/Joy. Put completed Daily Farm sheet and any additional cash over the $200 and checks you receive in the Daily Shed envelope (put Name, Location and Date on outside of envelope). Take Daily Shed envelope to Florence Office.
